The primary purpose of the DDS Dashboard (“Dashboard”) website and platform is to provide tools and services that assist organizations in managing their operations, employees, training, statistics, workflows, communications, and related business activities. DDS Dashboard, LLC (“DDS Dashboard,” “Dashboard,” “we,” “us,” or “our”) is committed to respecting and protecting the privacy of individuals who visit our website, access our platform, create or use accounts, or otherwise interact with Dashboard Services. This Privacy Policy explains how personal information we may collect from or about you through the website, platform, applications, communications, and related services may be collected, used, processed, stored, and disclosed. This Privacy Policy applies to paid Clients, Authorized Users, Free Users, trial users, promotional or complimentary users, prospective Clients, website visitors, and others who interact with Dashboard Services. By accessing or using Dashboard Services, you acknowledge the practices described in this Privacy Policy. If you do not agree, you should not access or use Dashboard Services. We will process personal information in accordance with applicable federal and state law.
We may collect information directly from you; from your organization; automatically through technology; and from third-party services or integrations where authorized. Personal information may include name; business or organization name; job title, position, department, or organizational role; email address; mobile or telephone number; mailing or business address; account and login information; communication preferences; subscription, free/trial/promotional access information; form submissions; correspondence; optional survey responses; content, documents, comments, files, statistics, training activity, workflows, checklists, organizational information, or other materials entered or created through the Services; feature usage; IP address, operating system, browser type, device information, system logs; and traffic, approximate location derived from IP address, usage, communication, or diagnostic data.
Your organization may provide information about you to establish or administer access, including your name, email address, mobile or telephone number, job title or position, department, organizational role, assigned statistics, training assignments, checklists, workflows, and other account information. Organizations providing personal information regarding employees, contractors, consultants, or other Authorized Users are responsible for having the authority and obtaining any consent required by applicable law to provide such information.
We may use cookies and similar technologies to maintain account sessions; authenticate Users; remember preferences; understand traffic and usage patterns; measure and improve effectiveness; troubleshoot technical issues; support security and fraud prevention; and improve the Services. You may be able to restrict or disable cookies through your browser. Essential cookies may be necessary for account authentication or platform functionality. Where required by applicable law, we will provide required cookie notices, preference controls, or consent mechanisms.
We do not sell personal information for monetary consideration. We may use personal information to create and administer accounts; process subscriptions and payments; provide free, trial, promotional, or complimentary access; operate the Services; authenticate Users; provide onboarding, training, support, account administration, statistics, organizational management, training, checklists, workflows, reporting, notifications, and other functionality; fulfill information requests; conduct surveys or research; personalize and improve experiences; communicate about accounts and Services; provide support; maintain security; detect and prevent fraud or misuse; analyze usage and performance; develop and improve features; operate AI-assisted and automated functionality; comply with legal obligations; enforce agreements; protect our business, Clients, Users, and others; notify Users about features, services, subscription options, and special offers; and conduct marketing as permitted by applicable law and opt-out rights.
If you or your organization provides an email address, mobile telephone number, or other contact information, we may use it for account invitations and activation; password and authentication messages; security alerts; platform notifications; statistics, checklist, training, workflow, task, and reporting notifications; account and administrative communications; support; billing and subscription communications; renewal notices; service changes; and other communications reasonably related to your account or use. Communications may be delivered by email, SMS/text, in-platform notification, telephone, or other electronic means. Standard message and data rates may apply. We will provide preference or opt-out mechanisms where required by applicable law. Opting out of optional or marketing communications does not prevent transactional, security, account-related, administrative, service, legal, or other communications permitted by law.
We may communicate with Clients, prospective Clients, Free Users, trial users, promotional or complimentary users, and others regarding available features, expanded functionality, full-access options, paid subscription options, product updates, demonstrations, educational or training content, new products or services, promotions, and special offers. Marketing email may be sent as permitted by applicable law and will include an appropriate unsubscribe method. Promotional or marketing SMS/text messages or telephone communications may be sent where permitted by applicable law and where any additional consent required by applicable law has been obtained. Where required, separate consent may be obtained. Recipients may withdraw consent or opt out using the method identified in the communication or another method recognized by applicable law.
When a Free User creates an account, accepts an invitation, or otherwise accesses the Services, we may collect and use the User’s information as described in this Privacy Policy. Contact information may be used for communications concerning use of the account, available features, expanded functionality, full-access options, subscription options, demonstrations, training, product updates, educational information, and promotional offers, subject to applicable law and opt-out rights.
The Services may include artificial intelligence, machine learning, automation, generated content, analysis, recommendations, summaries, workflows, or similar functionality. Information submitted to or generated through these features may be processed by our systems or third-party technology providers used to provide the applicable functionality. We may use aggregated or de-identified information for analytics, benchmarking, product development, service improvement, AI system development and improvement, and reporting, subject to applicable law and contractual restrictions. We do not intend de-identified information to be used to identify an individual.
We do not sell personal information for monetary consideration and do not intentionally provide personal information to unrelated third parties for their independent use for profit except as disclosed in this Privacy Policy or permitted by law. We may disclose information to contracted service providers for website/platform administration, cloud hosting, data storage, software infrastructure, email delivery, SMS or telecommunications, payment processing, customer support, analytics, security, automation, AI, software development, integrations, and marketing communications; through Client-authorized integrations; to consultants, advisors, management organizations, or other parties authorized by a Client; to comply with legal obligations or protect rights and security; in a merger, acquisition, financing, reorganization, sale, or transfer; or with consent or direction.
We do not sell personal information for monetary consideration. If we engage in activities in the future that constitute a “sale,” “sharing,” targeted advertising, or similar regulated activity under applicable state privacy law, we will provide notices, opt-out mechanisms, or other protections required by that law.
We do not generally require Users to provide sensitive personal information unless necessary for an authorized function. Users should avoid providing sensitive information unnecessary for use of the Services. If collected or received, sensitive personal information will be processed in accordance with applicable privacy laws and contractual obligations. Unless expressly agreed otherwise in writing, Dashboard Services are not intended for the storage or processing of protected health information (“PHI”) subject to HIPAA. Clients and Users should not upload PHI unless Dashboard has expressly authorized such use and any agreements required by applicable law have been executed.
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. No method of transmitting or storing electronic information can be guaranteed completely secure. Users are responsible for protecting credentials, authentication information, and devices and should promptly notify us of suspected unauthorized access. Third-party websites and services may maintain their own privacy policies and practices, for which we are not responsible.
We retain personal information for as long as reasonably necessary to provide Services; maintain accounts; fulfill contractual obligations; maintain business and transaction records; comply with legal, accounting, tax, or regulatory requirements; support security and fraud prevention; resolve disputes; enforce agreements; and maintain appropriate backups and disaster recovery. Retention periods vary. When information is no longer reasonably necessary, we may delete, de-identify, aggregate, or otherwise dispose of it in accordance with applicable law and retention procedures. Deletion requests will be honored where required by law, subject to applicable exceptions, legal requirements, contractual obligations, and permitted retention. Certain information may remain temporarily in backup or archival systems until normal deletion cycles occur.
Depending upon your state of residence and applicable federal or state privacy law, you may have rights to know whether we maintain personal information about you; access certain personal information; correct inaccurate information; request deletion; receive a copy; receive information regarding categories collected or disclosed; opt out of certain sales, sharing, targeted advertising, or profiling where applicable; limit certain uses of sensitive information where applicable; withdraw consent where processing is based on consent; appeal certain privacy decisions where required; and exercise applicable rights without unlawful discrimination. Rights are subject to legal requirements, exceptions, verification procedures, and eligibility requirements.
You may submit privacy questions or requests using our website contact methods or by contacting admin@ddsdashboard.com or success@ddsdashboard.com. We may need to verify your identity. If your account is provided or controlled by an organization, certain requests concerning information controlled by that organization may need to be directed to the organization. We will process verified requests within the period required by applicable law.
You may opt out of marketing emails using the unsubscribe mechanism included in applicable marketing communications. Where applicable, recipients of SMS marketing may use the opt-out method identified in the message, such as replying STOP, or another reasonable method permitted by applicable law. We may retain limited information necessary to record and honor an opt-out request. Opting out of marketing does not require deletion of your account and does not prevent necessary service, account, security, transactional, administrative, or legal communications.
The Services are intended for business and professional use and are not directed to persons under 18 years of age. We do not knowingly collect personal information directly from children under 18 through the Services. If we become aware that such information was collected in circumstances where it should not have been, we will take reasonable steps to delete or otherwise appropriately address it.
We provide services to Clients and Users located throughout the United States. Privacy and communications laws may provide different rights or impose different requirements depending upon the applicable jurisdiction. We will process personal information and provide applicable privacy rights in accordance with federal and state laws that apply to us and the applicable processing activity. If this Privacy Policy conflicts with a legal privacy requirement that cannot lawfully be waived, the applicable legal requirement will control to the extent required by law.
We may update this Privacy Policy as our services, technology, business practices, or legal obligations change. We will update the “Last Updated” date and may provide notice through the website, platform, email, or another reasonable method. Where applicable law requires additional notice or consent concerning a material change, we will provide such notice or obtain such consent. Continued use following an update constitutes acknowledgment to the extent permitted by law.
This Privacy Policy should be read together with the applicable End User License Agreement and Terms of Use. The Terms govern access to and use of the Services; this Privacy Policy describes practices concerning personal information. Nothing in either document is intended to waive a privacy right or protection that cannot lawfully be waived.
